Dear Eagle Pointe Unit Owners:
The 2026 Annual Meeting of Eagle Pointe at Cahoon Plantation, A Condominium, Unit Owners’ Association, Inc. (the “Association”) is scheduled for 6:30 PM, Wednesday, November 04, 2026, in the Celebration Room at the Bay Club, located at 1500 Eagle Pointe Way, Chesapeake, Virginia 23322.
The 2026 Annual Meeting may be attended in person by Unit Owners, but there is limited seating. If you wish to attend the Annual Meeting in person, then a reservation will be required.
The reservation can be made with your save the date post card that you will be receiving shortly in the mail. The Annual Association Meeting Proxy and the voting instructions will be provided in early October.
The important items of business to be conducted at the Annual Association Meeting are listed below:
1)Election of three (3) members to the Eagle Pointe Board of Directors for a two-year term.

2)Adopting the IRS Resolution, which is a resolution stating that any remaining funds at the conclusion of the 2026 fiscal year will be applied to the 2027 Association assessments to cover expenses.
Included with this email is a Board of Directors Candidate Application Form. If you are interested in serving on the Board of Directors, complete and return the form using the instructions found on the form.
Please return the Board of Directors Candidate Application Form to management by 5:00 PM, Thursday, September 24, 2026. The Candidate Application Form can be submitted to management by hand delivery, by email, or by regular US Postal mailing.
Additionally, nominations will be accepted from the floor on the evening of the Annual Meeting if there are less than three (3) candidates for each open position on the Board.
We encourage any Unit Owner who would like to serve on the Board to submit a Candidate Application form prior to the deadline so that each candidate’s name will be shown on the Proxy and on the Voting Ballot.

The Association Unit Owners will have an opportunity to meet the candidates at a scheduled event called “An in Person Meet the Candidates Night” event. This event will be held in the Bay Club Celebration Room on Wednesday, October 21, 2026 at 6:30 pm.
Reservations are also required in order to attend this event. You will be able to make this reservation until October 16, 2026, by going online at www.myeaglepointe.com to register until the room is filled.
